Hosted phones and AI receptionist.

One phone system for every site: a main number, a menu, ring groups, voicemail to email, local numbers interstate, and calls that follow staff to their mobile. Add an AI receptionist that answers, takes a message and emails the right person. It is instructed never to discuss participants, plans or funding.

Hardware supplied and pre-built.

Laptops, monitors, docks and network gear, built, asset-tagged and shipped ready to use, even to houses we rarely visit.

Privacy and records

What your IT must do for an NDIS provider.

These are the rules we configure Microsoft 365 around. We set up your systems to support them. Your own policies, people and practices still matter, and this is not legal advice.

Check my setup against these rules

    You're covered by the Privacy Act, whatever your size. You hold health information, so the small business exemption does not apply.

  2. 2

    Keep records for at least 7 years. Email, Teams and documents each need their own retention policy. Teams is not covered by your email policy.

  3. 3

    Keep your audit trail. Microsoft's audit logs last 180 days on standard licences. We export them so the history is there when you need it.

  4. 4

    Shared house mailboxes must show who sent what. Sign-in is blocked on the house mailbox, and each worker uses their own account with access to it.

  5. 5

    A support worker is not automatically authorised to write for a participant, and participants must be able to reach their own mail. We set up access so consent and authority can be recorded.

  6. 6

    Monitoring staff email in NSW needs a written policy and 14 days' notice. We recommend applying the same standard at every site.

  7. 7

    Offshore staff or virtual assistants seeing participant data triggers overseas disclosure rules. We scope their access to what they need.

  8. 8

    Check before deleting a departed worker's account. Confirm whether records need to be kept first.

15-minute health check.

We ask about your staff, offices and SIL houses, and tell you the biggest risks we see.

Site and system review.

We look at your Microsoft 365, devices, networks, internet and phones, and agree a plan and a price.

Take-over.

We work with your current provider to move admin access across, add monitoring and security, and fix anything urgent first.

Settle and improve.

Sites move onto our standard network and internet as old contracts end, and your Microsoft 365 is brought into line with the rules above. Then a review meeting every month.

Questions

The things NDIS providers ask us first.

How long is the agreement?

36 months, renewing for the same term. Leaving early means paying out the remaining months. A longer term is what lets us invest in setting you up properly at the start.

How fast do you respond?

Guaranteed response in business hours (8:30 to 5:00): critical 1 hour, high 2 hours, medium 4 hours, low 8 hours. If we miss one, you get a 5% credit, up to 25% a month.

Do you help after hours?

Yes. Unlimited after-hours support is included on the Ultimate plan. On Essentials and Premium, after-hours work is available and billed separately.

How do you price SIL houses?

At half the normal seat rate. A house has a shared laptop and mailbox, and mostly does email, so it costs less to support than a staff member.

What about casual support workers without a licence?

We work out how they receive rosters and notices before we tidy anything up, so nobody gets cut off.

What isn't included?

Hardware, internet, phones and backup are separate lines. Projects such as new systems, migrations and restructures are quoted separately. Faults on hardware not bought through us or out of warranty, and software not on our approved list, are covered or billed at our discretion.

Can we keep our existing computers?

Yes, if they meet our minimum standard. Hardware not bought through us or out of warranty is covered at our discretion, so we'll tell you upfront what we'd replace and why.

How hard is it to switch from our current IT provider?

We do the heavy lifting. You name a primary and secondary IT contact and authorise us with your current provider and other vendors, and we handle the handover from there.

Will you support our care management, payroll and accounting software?

Those cloud apps are run by their own vendors. We look after the devices, accounts and network they run on, and we can help you raise issues with the vendor. Our approved list covers Microsoft 365 apps, OneDrive, Teams, SharePoint, Windows, Edge, Google Workspace and Chrome, Adobe Reader and our security and remote support tools; other software is supported at our discretion.

Can we use an AI receptionist safely?

Yes. Ours answers, takes a message and emails the right person, and is instructed never to discuss participants, plans or funding.

Are you NDIS registered, and does this make us compliant?

No to both. We are an IT provider. We configure your systems to support the Privacy Act, 7-year retention and NDIS Practice Standards expectations, but compliance also depends on your own policies and practices.
